Can an AI receptionist convert callers as well as a person?
AI Automators
An AI receptionist working completely alone converts fewer callers than a trained person, but the gap narrows sharply when AI and people work together, and the biggest single factor is whether the caller can book an appointment before they hang up. For most businesses, the better question is not 'AI receptionist or human?' but 'does every qualified caller leave with a booked next step?'
Why this is in the news
On 16 October 2026, Smith.ai, a United States (US) company that runs phone intake for law firms, published its Legal Intake Report. The report analyses more than 3.2 million answered calls to over 4,000 US law firms between June 2022 and July 2026, and the findings were picked up by legal and business press, including LawNext and Forbes.
Three figures drew most of the attention. Qualified callers handled by people alone booked a next step 59% of the time. Calls handled by AI and people together booked 52% of the time. Calls handled by AI alone booked 33% of the time.
A fourth figure matters more. Firms that offered real-time appointment booking to qualified callers converted 64% of them, and that rate held after business hours. Firms that did not offer it converted around 12%, falling to about 7% out of hours. The report also found that 22% of calls arrived outside business hours.
The report comes from a company that sells both AI and human answering, so read it as industry data rather than independent research. Even so, the pattern is consistent and the sample is large, and it matches what we see when businesses try to automate their front desk.
AI receptionist or human: what the data actually says
Booking matters more than who answers. The difference between offering a booking and not offering one (roughly 64% against 12%) is far larger than the difference between AI and people. A caller who hangs up without a time in the diary often calls someone else next.
AI alone struggles with the hard calls. Most calls are routine: opening hours, availability, a simple question, a booking. Some are not. A worried caller, an unusual request or a situation that needs judgement is where an AI receptionist working alone loses people.
Hybrid closes most of the gap. When AI handles the routine part of every call and a person steps in for the calls that need one, results come close to people alone, without needing staff to answer every ring.
Out-of-hours calls are a real opportunity. More than a fifth of calls arrive when the office is closed. If those callers can book there and then, they convert at the same rate as daytime callers.
What this means for a growing business
The study covers law firms, but the lesson applies to any business that wins work by phone: clinics, trades, agencies, professional services. Before you choose an AI receptionist, decide what a good call looks like for you, and make sure the tool is built to reach it.
Connect it to the real diary. An AI receptionist that can only take a message is a voicemail with better manners. It needs live access to your availability so it can offer a time and confirm it during the call. An automated booking system that the receptionist can write to directly is the piece most often missing.
Design the hand-over first. Decide which calls must reach a person, how quickly, and what happens if nobody is free. The best set-ups send the routine calls through automatically and pass the rest to a named member of staff, with a summary so the caller does not have to repeat themselves.
Measure booked next steps, not answered calls. Answering every call is easy to report and says little. Track how many qualified callers leave with an appointment, by time of day, and compare it with your current results.
Start with your most common call. Pick the enquiry you receive most often and automate that well before you widen the scope. This is the same principle we set out in where all-purpose AI agents fit: specific, repeated jobs reward a tool built for the job.
Check what it can reach. A receptionist with access to your diary and customer records deserves the same care as any other AI agent. Our checklist before giving an AI agent access covers the questions to ask.
How we approach it
Our AI receptionist is built around these findings: it answers every call, books directly into the diary during the call, works around the clock, and passes calls that need a person to the right member of your team. It is one of several AI automation tools we deploy for businesses that want results rather than another experiment, and where the fit is not exact, we build a custom AI tool to your specification.
